If the group is smaller than 5 people, an anonymous survey is not possible; therefore, no survey will be initiated. In this case, gather feedback from your group based on the 12 questions in a workshop or meeting.
Yes, evaluation is possible with a minimum of 5 participants. If there are fewer than 5 participants, anonymous evaluation is not possible, and feedback will be obtained in a workshop.
The external provider is contractually obligated to provide the collected data only to the information owners, i.e., the Leadership Feedback conversation. The central ETH offices do not have access to or insight into the data.
All survey data is stored by the external provider in the cloud with the location set to "Switzerland." The tool used has undergone a cloud assessment based on the corresponding ETH guidelines and has been approved in collaboration with the Chief Information Security Officer.
The LFP partners were selected by the ETH School Leadership based on recommendations from the departments and school leadership members and are mandated for a four-year period. The pool includes emeritus professors, external coaches, and internal experts in the field of leadership and development. The professor chooses a person as their LFP partner freely for the Leadership Feedback conversation.
It may happen that the desired LFP partner is already fully occupied or unavailable for the Leadership Feedback conversation due to potential conflicts of interest. In this case, the person will provide feedback to the professor, and another person from the pool will be selected.
The professor provides the respective LFP partners with the following documents confidentially before the scheduled conversation:
- Data Collection
- Self and Peer Assessment
o A) Anonymous survey results (provided to the professor via external provider)
o B) If anonymous evaluation cannot be conducted due to small group size or insufficient response rate, feedback results from the workshop with the own group should be provided.
- Self-reflection report
Approximately 2-2.5 hours should be allocated for the conversation. The room, time, and location will be arranged directly between the respective LFP partners and the professor.
The conversation is completed with a jointly formulated feedback (a template will be provided to the LFP partners) to the Vice President for Personnel Development & Leadership, which includes voluntary development steps as well as personal comments or insights.
All documents and information should always be considered and handled as confidential. The professor is the information owner, meaning that ETH only has access to the data collection and the final feedback to VPPL. All other information and documents are only available to the professor and the respective LFP partners. The LFP partners delete these after the completion of the process, meaning that in the next LFP (5 years later), only the professor has all the documents from the previous cycle.
