Deinventarisation
If an inventoried device/equipment is scrapped, donated or sold, it must be deleted from the central inventory database in ETHIS by the respective ETH unit. This deletion must be confirmed by the budget officer and, if applicable, the Research Initiatives and Infrastructures department (representing the VPF). The responsibility depends on the original purchase price:
- Original purchase price from CHF 10,000 to CHF 49,999: Budget officer with notification to the (administrative) department controller, the Accounting department and the Procurement and Export Services department (export control)
- Original purchase price of more than CHF 50,000: Research Initiatives and Infrastructures administrative department (representing the Vice President for Research), with notification of the head of the (administrative) department, the respective controller, the Accounting department and the Procurement and Export Services department (export control).
The sample contracts provided by the Accounting department must be used for all sales, donations and equipment loans (see further links below).
Prioritisation
In line with ETH Zurich's sustainability goals, the aim should be for the equipment to be reused.
If the device (with an original purchase price ≥ CHF 50,000) is still functional or repairable, the following prioritisation applies to the de-inventorisation:
- ETH-internal transfer
- Sale
- Donation
- Scrapping
If the device (with an original purchase price ≥ CHF 50,000) is broken, the following prioritisation applies for de-inventorisation:
- Donation
- Scrapping
Process
- Before a device is de-inventoried, the respective unit (professorship, group, etc.) checks whether anyone else within the Department has a need for it.
- If this is not the case, the administrative department of Research Initiatives and Infrastructures requires a brief confirmation from the Head of Department (by e-mail).
- Approval for sale/donation will be given when the buyer or beneficiary has been determined. The following information is required:
- Completed purchase or donation contract
- Information about the buyer and the price or the beneficiary
- Consultation of export control if the device is sold or donated abroad
- As soon as the sale or donation has been finalised, the device must be deleted from the inventory database by the respective unit.
- The administrative department Research Initiatives and Infrastructures confirms the deletion
